Privacy notice
Version 2026-10
Who is responsible
Your landlord or residential society (the “organisation”) decides why and how your personal data is used and is the Data Fiduciary under the Digital Personal Data Protection Act, 2023. AanganHQ processes the data on the organisation’s behalf.
What we collect and why
- Name, phone and email — to manage your tenancy, send bills, receipts and notices, and let you sign in.
- Government ID (type, number and document) and police-verification documents — to verify tenants as required by local rules. Aadhaar numbers are stored masked to the last four digits; ID numbers are encrypted.
- Emergency contact, family size and vehicle numbers — for building safety and parking.
- Lease, billing, payment and maintenance records — to run the tenancy and meet accounting and tax obligations.
- Guest passes and gate entries — for building security.
How long we keep it
ID numbers and KYC documents are erased 1095 days after your last tenancy ends. Invoices, receipts and other financial records are kept for as long as tax and accounting law requires (generally 8 years), with your name only.
Your rights
You can download a copy of your data and ask for it to be erased from the resident app (Privacy & data). Erasure is completed once you have no active tenancy or outstanding dues; records the law requires us to keep are retained but no longer used for anything else. You may withdraw consent the same way; this ends the processing that relies on it.
Security
Data is encrypted in transit and at rest, documents are served only through short-lived links, access is limited by role and property, and every access to KYC documents is logged.
